Development Administrator | Buckrail Jobs


The Development Administrator shares responsibility for overall departmental goals and is an integral member of the fundraising team. The role of the position has these primary objectives:

  • Working with our database consultant, the Development Administrator manages and oversees all aspects of membership processing, donor data, and gift entry.
  • Working with our database consultant, the Development Administrator identifies, implements, and maintains best practices in the Museum’s CRM. (Raiser’s Edge & NXT).
  • Serves as primary contact for general membership and gift inquiries. 

Organizational Relationship:

This position reports to Manager of Membership & Planned Gifts

Position Duties and Levels of Responsibilities:

  • Works with database consultant to ensure memberships and gifts are processed accurately, trouble shoots database issues, and maintains best practices for accurate reporting and data.
  • Manages the membership renewal program. Produces monthly renewals and weekly acknowledgement letters as well as other correspondence as needed.
  • Serves as communication and technical liaison for Raiser’s Edge NXT communication tools and forms.
  • Works closely with the Finance Department to produce financial reports and monthly reconciliations.
  • Performs a variety of administrative tasks including taking board committee notes, assisting with holiday and event mailings, managing webinar recordings, and more as needed.
  • Supervises development volunteer(s) to assist with acknowledgment and renewal mailings and other administrative tasks.
  • Serves as primary contact for general membership inquiries, working closely with front of house staff for excellent member and visitor services. 


  • Two or four year college degree preferred
  • Strong verbal and writing skills
  • Raiser’s Edge, CRM or database experience (fundraising software preferred)
  • Strong computer skills (MS 360)
  • Accounting experience a plus
  • Previous experience with museums, fundraising, and special events is preferred
  • Minimum of two years administrative experience
  • Excellent organizational skills; adept at prioritizing multiple tasks
  • Team player, working for the best interest of the organization
  • Self-motivated
